Writing Professional Business Emails

An email is so fast and easy to write or reply to, we sometimes feel that we don't have to spend as much time thinking of what we are saying or how professional our message will look when it is received on the other side. Coupled with this is the instantaneous nature of email, which does not allow us time to reconsider what we have said before the message flies off through cyberspace.

The truth of the matter is that any information we send projects our personal and company image, and badly written or thought out emails can often be misinterpreted or give unintentional offence.

This seminar has been designed to provide working guidelines for drafting professional emails, notes and replies quickly, appropriately, concisely and, above all, professionally; that always convey the correct message and cannot be misconstrued or be seen as offensive.

Key elements covered during this half day seminar:

  • When sending emails is appropriate and situations that require more formal written communication
  • Understanding how the nature of emails "easy forwarding" means that you should take care what is committed to words
  • How to create an accurate Subject Line that clearly and accurately reflects the content of the email message
  • A few useful rules for greetings and finishing off your e-mails
  • Deciding on the tone of your email to maintain professionalism without sounding stuck-up
  • How to get your content across succinctly, clearly and to the point
  • Avoiding common business writing errors in your emails
  • The importance of re-reading and revising before pressing send
  • Damage control - What options are available when you realise you should not have pressed send yet
